Your mission In this role, you will bring NVision’s breakthrough quantum technology to the global stage. You will lead the end-to-end operational planning and execution of our external events, international exhibitions, and our flagship conference. Acting as a central execution engine, you will collaborate heavily with internal teams and external vendors to turn complex medical science into engaging live experiences, directly connecting our life-saving platform with the world’s leading clinical minds and researchers. Responsibilities: Act as the primary point of contact connecting internal teams (Marketing, Sales, Design, EAs) with global external vendors (hotels, booth builders, print shops, etc.). Manage all timelines, project deadlines, and deliverables. Independently scope and execute ad-hoc requests from Marketing and Sales (e.g., sourcing new booth elements, SWAG, or hosting networking dinners). Efficiently gather competitive options and present clear recommendations to decision-makers. Coordinate and execute all structural logistics for NVision’s flagship conference (THINC), managing relationships with venues, suppliers, catering, and sponsors. Manage all onsite and offsite logistics for domestic and international conferences (e.g., ISMRM, ESMRMB). Handle print materials, exhibit procurement, sponsorships, international shipments, and vendor communications. Partner closely with PR, Communications, and Marketing to align event messaging and organize booth designs, supplies, branded giveaways, and promotional materials. Coordinate onsite booth teams and schedules, ensuring smooth logistics and preparation for attending senior management, scientists, and product leads. Manage the timelines for NVision's annual global event calendar. Schedule and prepare materials for cross-functional planning sessions, and fully action all approved booth presence, speaking slots, and poster sessions. Partner closely with Marketing budget owners to help manage event budgets, sponsorship agreements, and vendor contracts, negotiating with external suppliers to maximize value. Manage travel logistics for event teams, including booking hotels, securing venues for hosting customers or collaborators, and managing itinerary changes. Your profile Experience: 4+ years in event management or conference management. Project Coordination: A proven track record of managing complex event logistics and building strong vendor relationships. Hands-on Mindset: You enjoy the action of events, from coordinating booth builders and testing displays to problem solving under pressure.. Communication: You thrive in international environments, collaborating across cultures and negotiating with global partners. You are comfortable aligning with senior management, providing regular updates to showcase event data, and guiding strategic decisions. Languages: English fluency is required; German skills would be a plus. Location: Ideally in/near the Ulm area, or with the flexibility to work from the office a few times a month Why us? Attractive
